Out of concern for the safety of our Guests and our employees, we have introduced the highest hygiene standards in order to ensure broadly understood safety in connection with Covid19.

General statements

These terms and conditions exist in regards to the booking and rental of apartments offered by Welcome Properties Sp. z o. o., presented on the website www.welcomeapartment.pl as well as reservation portals. Making a reservation is synonymous with signing a rental agreement between Welcome Properties Sp. z o.o., on the terms specified in the terms and conditions. 


Booking and payment. 

After making a booking, the Guest is sent a confirmation email with the address of the apartment and the key pick-up point. 

Payment for stay:

  • For reservations made via a reservation portal, the payment is guaranteed by a credit card or debit card. 
  • For reservations through website or email, a 40% advance of the reservation fee is to be paid to a bank account provided in the booking confirmation. The remaining cost is to be paid on the day of arrival during check-in, by cash or card.
  • On the day of check-in, the Guest is required to pay a city tax which, in Gdańsk, amounts to: 2,41 PLN/ per night/ per person. Sopot: 4,30 PLN/ per night/ per person
  • Every guest is required to make a one-off payment for the final cleaning fee. The amount of the fee is dependent on the size of the apartment – between 150 PLN and 300 PLN. In the case of bookings made via reservation portals and via the website, the Guest is provided with a confirmation of the cleaning fee during the process of making a reservation. In case of bookings made via email, the amount of the cleaning fee is included in the booking confirmation email. 
  • Picking up keys after 18:00 is synonymous with agreeing to pay for an additional fee of 100 PLN.
  • The offer and prices listed on the www.welcomeapartment.pl website are informational only and do not equate to a trade offer as stated in Art. 55 par.1 of the Civil Code. The cost of stay must be confirmed by an employee of Welcome Properties Sp. z o.o..
  • All costs offered by Welcome Properties Sp. z o.o. include a currently applicable VAT tax (8%).
  • The cost of stay includes: bedding, towels, hotel toiletries, hygienic products and a welcome set of tea, coffee and sugar. 
  • Welcome Properties Sp. z o.o. reserves the right to charge a deposit in an amount dependent on the category of the apartment: from 1000 PLN to 2000 PLN. The deposit is charged in cash. The deposit serves the purpose of securing the claims of Welcome Properties Sp. z o.o. in the case of potential damages or bridges to the terms and conditions. In the case of a lack of stipulations from a Welcome Properties Sp. z o.o., employee during the final check of the apartment on the day of departure, the deposit is returned in full.
  • All changes to the booking should be made by way of email and should be approved by a Welcome Properties Sp. z o.o. employee. Welcome Properties Sp. z o.o. reserves the right to deny changes to the reservation if, for objective reasons, those changes will not be possible. In the case of cancelling a reservation because of inability to implement said changes, the Guest is not entitled to a refund for reservation fees.
  • At the Guest’s wish, Welcome Properties Sp. z o.o. may produce an invoice. It is mandatory to provide invoice details, immediately after making a reservation. 
  • In the case of shortening a stay, the Guests are not entitled to a refund for the remaining nights. 

Terms of stay.

  1. Check-in time begins at 15:00 on arrival day and ends at 11:00 on departure day. 
  2. After making a booking, the Guest receives detailed information about key pick-up. Between 15:00 and 18:00 keys are handed free of charge. Handing keys after 18:00 is synonymous with an additional fee of 100 PLN. Early check in is possible only after prior approval from company staff. 
  3. Check-out after 11:00 is possible after a payment of one additional night and must be approved by company staff.
  4. Welcome Properties Sp z o.o. reserves the right to deny check-in to persons who are under the influence of alcohol, drugs, who behave in an aggressive manner and, thus, create an immediate risk to others and their belongings. 
  5. Parking spots are limited – reservation is required. 
  6. The apartment is subject to a noise curfew from 22:00 to 07:00. Infringement of the noise curfew is synonymous with an immediate termination of contract and the involvement of order authorities. 
  7. The apartment serves accommodational purposes. All PARTIES, PHOTO SHOOTS, BACHELOR NIGHTS and BACHELORETTES are forbidden – infringement of this ban will result in a charged of 2,000 PLN.
  8. The number of Guests staying in the apartment must be proportional to the amount of beds. In the case of infringement of this point, Welcome Properties Sp. z o.o. reserves the right to terminate the contract with immediate effect, without the requirement to refund any costs for the remainder of the stay. 
  9. In the apartment as well as the building SMOKING and ILLEGAL DRUG USE are forbidden. Violation of this ban will result in a 1.500 PLN fee for ozonation services, charged to the Guest’s account.
  10. The fire extinguisher in the apartment may only be used in the event of a fire hazard. Unjustified use of a fire extinguisher results in a fine of 2,000 PLN and covers the costs of damage / renovation of the apartment.
  11. Welcome Properties Sp. z o.o. is not responsible for any inconveniences during the stay which result from: Construction works in or around the building; Outages for reasons unrelated to Welcome Properties Sp. z o.o. (eg. of electricity, water, Internet).
  12. The Guest is handed an apartment at their disposal along with a fully functioning equipment. All destructions or damages found by the Guest in the apartment must be reported immediately to a Welcome Properties Sp. z o. o. employee. Failing to do so may result in charges for the Guest. 
  13. Welcome Properties Sp. z o.o. does not permit animals inside apartments.
  14. For the stay of a child up to 5 years old (one child per two adults), sleeping with the adults or a designated crib which doesn’t require bedding, Welcome Properties Sp.  o.o. does not charge additional fees. While making the reservation, the Guest is required to inform of such an instance.
  15. The Guest takes full responsibility for any damages, breakages or shortages of equipment and technical devices in the apartment, which have occurred as a result of his/her actions or the actions of individuals visiting him/her in the apartment. In the case of any damages the Guest should inform an employee of Welcome Properties Sp. z o.o.
  16. Welcome Properties Sp. z o.o. cannot be held responsible for the loss or damage of: money, documents or other important and/or valuable items left in the apartment during the Guest’s stay. 
  17. In the case of losing one set of keys to the apartment, the Guest will be charged with a cost of: 1000 PLN. In the case of losing a remote control for the parking gate, the Guest will be charged with a cost of: 300 PLN.
  18. In the apartment it is forbidden to move furniture without the approval of Welcome Properties Sp. z o.o.



Welcome Properties Sp. z o.o. commits to removing all damages caused to the apartment without unnecessary delay, within 24 hours after it has been reported, unless the nature of the damage requires a longer repair time. Malfunctions which have arised for reasons which are unrelated to Welcome Properties Sp. z o.o. (media delivery, Internet, malfunctioning of devices within the apartment) are not grounds for cancelling a reservation or the changing of its cost. 

Force majeure, unforeseen circumstances.

In the case of unforeseen circumstances, the results of which cannot be immediately liquidated with regular measures, Welcome Properties Sp. z o.o. reserves the right to offer the Guest a replacement apartment. Welcome Properties Sp. z o.o. has the right, in the case of force majeure, to terminate a contract. This also applies to cases in which the safety of the Guest and his/her belongings cannot be guaranteed for reasons independent to Welcome Properties Sp. z o.o. The amounts paid by the Guests are subject to an immediate refund, with a deduction of service which has already been implemented. 


Personal data is processed according to the ruling by the European Parliament and Council (EU) 2016/679 from 27th April 2016 regarding the security of physical persons, the processing of personal data, the free flow of such data and the repealing of the directive 95/46/WE (general ruling regarding data protection) (Dz. U. UE. L. from 2016 no. 119, pg. 1) The personal data administrator, handling data submitted during the service specified in the Terms and Conditions as understood by the current legal guidelines is Welcome Properties Sp. z o.o. According to the registration procedure and the purchase of hotel service provided by Welcome Properties Sp. z o.o. While filling out the forms available on our website, you are willingly submitting data regarding your name, surname, residential address, email address, phone number, bank card number and you agree to processing this data according to the Clause. We wish to ensure you that your personal data will be processed only by the data administrator with the purpose of providing service, researching your satisfaction, presenting new offers and discounts and, that they will not be shared, sold or leased to other entities. All gathered personal data is stored and processed in accordance with security measures which are aligned with the Polish law. We have implemented and are executing the necessary procedures which protect and limit access and the possibility to use your personal data by unauthorised parties, as well as the deletion of said data from the database through a direct contact with biuro@welcomeapartment.pl

Conflict resolution.

Conflict resolution between the company and the Guest is executed in accordance with the Polish law. Conflict will be resolved through a court applicable to Welcome Properties Sp. z o.o.


The terms and conditions are made available gratuitously via the website www.welcomeapartment.pl in a form which allows for its download, saving and printing. Guests and other users must familiarise themselves with the clauses of the terms and conditions before the commencement of service. Everyone must abide by the clauses of the terms and conditions from the commencement of Welcome Property Sp. z o.o. services, from the moment of booking through the website, other reservation portals or via email.
